1. Scope and basic approach
These notices cover RefLog for iPhone and Apple Watch. The company above is the controller for processing carried out on our behalf. RefLog supports match timing, records and reports. Match operation does not require a RefLog account.
Match data is stored locally. A paired iPhone and Apple Watch exchange changes through Apple WatchConnectivity. We have not integrated advertising or analytics SDKs or advertising tracking. Some optional functions use Apple services, described below. Direct import from the previous cloud is unavailable in this app version.
2. Matches, notes and reports
Processing covers your entries, such as teams, player and person names, shirt numbers, venue, schedule, goals, cards, substitutions, referee details and free text, plus technical match identifiers, time anchors and revisions. They support records, timing, recovery and device sync.
Requested app functions rely on Article 6(1)(b) GDPR insofar as necessary for our contract with you. For other people’s data, check which collection and disclosure is permitted in your role. Only enter necessary information; particularly sensitive information requires an appropriate basis.
Live Activities may show team names, match time and scores on the Lock Screen or Dynamic Island. The Watch may show match data while dimmed. You control this visibility through the relevant system settings.
3. Optional voice notes
Audio recording starts only when you start it and grant microphone access. Original audio, match association, time, duration and draft text are stored locally. Watch recordings are transferred to the paired iPhone.
Transcription uses Apple speech recognition exclusively on the iPhone. If unavailable, the recording remains saved; the app does not fall back to server transcription. Review the draft text. Optional microphone and speech recognition use relies on your consent (Article 6(1)(a) GDPR); you can revoke permissions in system settings.
Do not record private conversations or other people’s voices without the required permission. Device permissions do not replace consent from other people involved.
4. Optional routes and Apple Health
You can explicitly start a referee workout on the Watch. This requires location and Health permissions. Precise GPS coordinates, timestamps and accuracy produce a route, distance, duration and heatmap. Recording may continue in the background during the workout. Pauses are handled separately. Match timing remains available without these permissions.
RefLog requests permission to write workouts to Apple Health. It does not request access to read existing Health data or your heart rate. Workouts are saved through HealthKit; GPS routes are stored separately in RefLog and synced with the paired iPhone.
Optional location processing relies on Article 6(1)(a) GDPR and, where health data is involved, your explicit consent under Article 9(2)(a) GDPR. It is not used for advertising, profiling or data trading. Stop recording in RefLog or revoke permissions in system settings. Manage and delete existing Health workouts separately in Apple Health.
5. Apple Maps, purchases and system services
Opening a saved route in map view loads Apple MapKit content for that area. This connects to Apple; technical connection information and the requested map area are processed to provide the map. This is separate from the local heatmap.
The optional annual subscription uses Apple App Store and StoreKit. RefLog checks verified entitlements, product identifiers and expiry or revocation status on device. The app does not send us your billing or payment card details. As a provider, we may receive sales, settlement and, where applicable, diagnostic information through Apple services.
Where we are responsible, requested map and purchase functionality relies on Article 6(1)(b) GDPR. Apple’s privacy information applies to its own processing, App Store services, TestFlight, system diagnostics, Health and device backups. Depending on the Apple service, processing may take place outside the EU/EEA.
6. Importing existing match data
You can import existing match data from a JSON backup that you select. The file is processed on your device. RefLog does not connect to the previous RefLog cloud or to an import server operated by us for this purpose. Direct cloud import is unavailable in this app version.
If you select the file through a storage provider in the Files app, that provider’s privacy terms also apply to making the file available. The native app neither changes nor deletes data already held by the previous cloud service. Contact kontakt@reflog.pro with questions about that service.
7. Retention, backups and deletion
Matches remain stored locally until you remove the data. “Delete” moves a match to recoverable trash. Permanent match deletion within the app is currently unavailable. Local backups and conflict copies may retain earlier data. There is no fixed automatic retention period.
Voice recordings and GPS routes are stored separately and are not permanently removed by deleting a match. The current version also has no in-app function for permanently deleting audio recordings or GPS routes. Removing all local app data requires deleting the app and its data from both iPhone and Watch; offloading is insufficient. Exported files, device backups and Health records must be handled separately. First preserve only data you still need.
Match JSON backups include matches and match notes, but no audio files or GPS routes. Voice notes have a separate audio/text backup, which also excludes GPS routes. PDFs are match reports, not complete data exports.
Sharing or exporting happens only on your action to your chosen destination. Recipients and storage providers have their own terms. RefLog excludes its GPS route storage and technical transfer copies on iPhone and Watch from future operating-system device backups. Ordinary match and audio files may still be included depending on your Apple settings. Existing backups are not retroactively cleared. Apple’s own Health storage and system transfer services are governed by Apple’s settings and privacy information. RefLog does not operate its own iCloud sync.
8. Support and requests
When you email us, we process the sender address, contact details, message and voluntary attachments to handle your request. Please do not send unnecessary player, audio, location or health data. The app does not automatically email attachments.
Contract-related requests rely on Article 6(1)(b) GDPR; other requests on our legitimate interest in responding (Article 6(1)(f) GDPR). Correspondence is retained only as needed to handle requests, meet statutory duties or address claims. Statutory retention duties rely on Article 6(1)(c) GDPR.
Your privacy rights
Subject to the applicable legal requirements, you have rights of access, rectification, erasure, restriction and data portability. You may withdraw consent at any time with future effect; this does not affect processing that was lawful before withdrawal.
Where processing relies on legitimate interests, you may object on grounds relating to your particular situation. Contact kontakt@reflog.pro for privacy requests. Handling a request does not require blanket access to all your match data.
You may complain to a supervisory authority, particularly where you live, work or believe an infringement occurred. The authority for our registered office is the Hessischer Beauftragter für Datenschutz und Informationsfreiheit, Postfach 3163, 65021 Wiesbaden, Germany.
9. Optional use and decisions
Optional permissions and contacting us are voluntary. Without microphone/speech permissions the corresponding voice feature is unavailable; without location/Health there is no recorded workout. Local match operation remains available. We do not use automated decision-making, including profiling, with legal or similarly significant effects.
